This AI Policy explains how Revelane B.V. ("Revelane", "we", "us") uses artificial intelligence. It has two parts:

  • Part A covers the AI features in the Revelane Operating System ("Revelane OS") and our services, and how we handle your data when those features are used.

  • Part B sets out how AI systems, search engines and other automated tools may use the content of our public website.

This policy forms part of our Terms & Conditions and should be read together with our Privacy Policy. Terms such as Revelane OS, Services, Customer, User and Customer Data have the meaning given in the Terms & Conditions.

Part A - AI in Revelane OS and our services

1. Our principles

  • Your data stays yours. Customer Data is used only for the Customer it belongs to and is never used to train AI models for other Customers.

  • Humans decide. AI supports decisions; it does not make them. Every AI output can be reviewed, edited or ignored.

  • Transparent. We make clear when content or insights are generated by AI.

  • In control. Customers decide which AI features are enabled for their workspace.

  • Secure by design. AI features follow the same security, access and retention rules as the rest of Revelane OS.

2. AI features and the data they use

Revelane OS uses AI in the following ways:

Module

What AI does

Data used

CRM

Summarises email threads, meetings and account history; suggests next steps and drafts emails

CRM records and, if connected, synchronised email and calendar data

Analytics

Explains trends, answers questions about your data in plain language, highlights risks and opportunities

The Customer's own data in the workspace

Forecasting

Predicts revenue, volumes and pipeline outcomes

The Customer's historical sales and pipeline data

Pricing

Suggests price levels and flags margin deviations

The Customer's transaction, product and price data

AI features only process data the User already has access to under their role and permissions in the workspace.

Email and calendar data

AI features apply to email and calendar data only when the email and calendar integration is enabled and the User has connected a Google or Microsoft account, as described in section 2 of the Privacy Policy. Revelane's use of data received from Google APIs, including its use in AI features, adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data received from Microsoft Graph is used in accordance with the Microsoft APIs Terms of Use. We never use Google or Microsoft data to develop, improve or train generalised AI or machine-learning models.

3. Training, AI providers and storage

No training on Customer Data across Customers. We do not use Customer Data, prompts or AI outputs to train or improve AI models that are used for other Customers. Models that learn from data, such as forecasting models, are fitted on a Customer's own data and used only in that Customer's workspace.

Aggregated insights. We may use aggregated and anonymised statistics, from which no Customer or individual can be identified, to improve our methodology and the quality of the Services.

AI providers. Some AI features use large language models from third-party AI providers. These providers act as our sub-processors under contracts that prohibit them from using your data to train their models and that limit how long they may retain it. Where data is processed outside the European Economic Area, the safeguards described in section 5 of the Privacy Policy apply.

Storage. Prompts and AI outputs are stored in your workspace in the same way as other Customer Data, and are subject to the same access controls and retention periods.

4. Human oversight, transparency and control

Review before you rely on it. AI output is generated automatically and may be incomplete, outdated or incorrect. Users remain responsible for reviewing AI output before relying on it, sending it or acting on it. AI never sends emails, changes records or makes decisions with legal or similarly significant effect on its own.

Transparency. AI-generated content and insights are labelled as such in Revelane OS. In line with the EU Artificial Intelligence Act, we inform Users when they interact with an AI system.

Control. Workspace administrators can enable or disable AI features per module. Disabling AI features does not affect the other functionality of Revelane OS.

Responsible use. Users may not use AI features to generate unlawful, misleading or discriminatory content, or to make decisions about individuals, such as in hiring or credit, without human review.

5. AI in our consulting services

Our consultants use AI tools to analyse data, prepare deliverables and work more efficiently. We only use Customer data in AI tools that meet the same standards as described in section 3, and a consultant always reviews and takes responsibility for the result before it is shared with the Customer.

Part B - AI use of our website content

6. Website content and AI systems
